SERVICE
How does the service work?
Doctors dictate using a toll-free dictation system provided by an application service provider (ASP), using any standard telephone connection. Digital files are downloaded into the ASPs server, which then automatically notifies e-Medic to start transcription. For both telephone and digital dictations, the completed transcribed documents are returned to the same server. At this time, the documents may be finalized, printed, and filed.

How does the free trial work?
There are numerous objectives with a free trial, as you may want to try a variety of services . A customized trial will be established for an appropriate length of time that will service the purpose of you making a good business decision to continue to work with e-Medic.

What is your turnaround time?
We will provide you with the turnaround time (TAT) required. Standard TAT is between 12 to 24 hours from the time the dictation is received. When we work with your account, each report type and the desired TAT is reviewed to ensure your requirements are met.

Can I use templates or normals?
Yes.

How do you get patient demographics?
Some doctors will dictate the patient’s name, spelling the names carefully and slowly. While on the other
hand, many doctors will dictate the name very quickly and as such, it will be difficult for us to transcribe it correctly. We prefer the patient schedule be faxed or electronically sent to us each day.

What level of quality and accuracy can I expect?
e-Medic prides itself on achieving the highest accuracy available. The system is built so that the
same medical transcriptionist receives a specific doctor’s dictation. This allows us to deliver high-quality accuracy in a short-amount of time. Our experience has shown that this system allows us to deliver over
99% accuracy in most cases.

What is the process for changes within the document?
The preferred way is for us to do it, so we are informed and can improve our quality. However, we understand that for minor changes, it is easier and faster for you to make your own changes. We will discuss this in detail before implementing your account.

How do you define a line?
We adhere to the AAMT standard. One line equates to 65 characters, including spaces. Footnotes, endnotes, headers and footers are part of the document and typically counted. Two or more successive spaces or tabs are counted as one character.

There is no charge for page breaks, formatting (bold, underline, indentations, etc.), carriage returns, or
spaces on a line without text.

Total lines in a document are calculated by the total characters, including spaces, then divided by 65. The
total billable lines are rounded.

 

DICTATION SOLUTIONS
How does the toll-free dictation solution work?
Dictation can be accomplished using any telephone. Simply dial the toll-free number we provide, and follow the few prompts (doctor ID, patient ID, and begin dictating). We use the Medikin system. For more information, please visit http://www.medikin.com.

Can I use both the telephone and a digital recorder?
Yes. Our system accepts both toll free dictation and the use of a digital voice recorder, so you need not change the way you work.

HIPAA SECURITY
Is your service HIPAA-secure?
e-Medic partners with Metroscript to deliver a safe and secure web-based platform for your transcription needs. Using 128-bit encryption, all your audio and transcribed files are encrypted using Secure Socket Layer digital technology. For more information about our platform's security, please visit http://www.metroscript.com/ms2_security.asp. Our physical facilities have no removable media capabilities, and our network infrastructure prevents any file being emailed or printed. All our employees sign confidentiality documents.

COSTS
How much does your service cost, and are there start up fees?
There are several factors involved with determining the cost for the service. A few examples include the
type of specialty, overall volume, turnaround time requirements, additional services required, etc.

How will you bill me?
You will be billed every 15th and 30th of the month. You may pay via credit card or through telegraphic transfer to our account.

How do you define a line?
One line equates to 65 characters, with spaces. There is no charge for formatting in a line (bold,
underline, indentations, carriage return, etc.). Total lines in a document are calculated by the total
characters including spaces divided by 65.
